Job Summary

This is an in person role and on site at our Makewell Clinic

Salary Pro rata*

You will be a key part of our team at our private Makewell Clinic working directly with our families to help us deliver the highest standard of patient centred healthcare. This role has a strong focus on customer service and you will work alongside our multidisciplinary Mental Health Team who provide assessments and ongoing support for adults and children with ADHD and Autism. You will need to be someone who enjoys working in a forward-thinking organisation and wants to be part of our unique and ambitious journey.

You will provide administrative support as required by the service, under the supervision of the Senior Medical Secretary, Practice Manager and Patient Services Manager. This includes liaising with client families, directly supporting patients - acting as their family support worker, completing follow up letters, reports and maintaining accurate databases to ensure patients pathways are maintained.

Key Relationships

· All members of the clinical and administrative multi-disciplinary team for mental health.

· Clients and their families.

· External partners including Milton Keynes YMCA.

Responsibilities

Administrative Tasks

· Liaising with clients and their families to support them through the ADHD and Autism assessment journey to give them the best possible experience

· Typing of clinical related documents from Clinicians dictations including medical reports

· Formatting, proofreading, and sending all clinical letters

· Scanning of relevant documentation onto our systems

· Managing post email and telephone communications throughout the day, prioritising as necessary to ensure clinicians are aware of urgent information

· Liaising with patients to book and amend appointments and answer patient queries, providing information to patients as agreed in close collaboration with the team

· To liaise with clients, their families, schools and other professionals involved in client’s care.

· Liaise and maintain good working relationships with all members of the team and across the wider health system.

· Provide cover to reception when needed

· Booking / amending client appointments

· General housekeeping, filing and office support

· Regularly assessing working practices to identify possible improvements and improve efficiency

Clinical duties

· To work with clients with a diverse range of clinical needs including people with neurodiversity

· Complete procedures including recording Physical observations and QbTests.

· To adhere to safeguarding policies and procedures and to respond appropriately to disclosure or concerns

· Provide support and chaperoning to clinicians/clients as required.

Maintaining own learning and development

· To develop skills and competencies that assist in the delivery of current duties.

· To undertake personal training relevant to the post.

· To complete all required statutory and mandatory training

Record Keeping and Information Governance

· To maintain client confidentiality

· To follow Makewell information governance policies and procedures and maintain the highest standards of confidentiality and clinical record keeping

· To maintain databases for audit and management of waiting lists; enter data, and produce reports as required

· To respond appropriately and professionally to emotionally distressing situations and to support others involved in such situations

· To work flexibly which may include offering some commitment to clinics outside of standard working hours

· To be able to produce a full work history

Health and Safety

The postholder must be aware of the responsibilities placed on them under the Health and Safety at Work Act (1974) and must follow these at all times, including ensuring that they act in line with all policies and procedures at all times in order to maintain a safe environment for Clients, visitors and colleagues.
