Job Overview
We are seeking a dedicated and organised Medical Secretary/Services Administrator to join our healthcare team.

This role is ideal for someone who is organised, reliable, and eager to support healthcare professionals in delivering excellent patient care.

Reports To: Practice Manager

Accountable To: GP Partners / Practice Manager

Job Purpose

To provide comprehensive medical secretarial, administrative, and service administration support to the practice. The postholder will ensure the effective management of referrals, correspondence, patient pathways, and communication between primary and secondary care services, while supporting the Practice Manager in the smooth operation of practice services.

Key Responsibilities

  • Manage and process clinical correspondence, referrals, reports, and documentation.
  • Prepare and submit referrals via NHS e-RS and other approved pathways.
  • Track & Monitor referral outcomes and follow up outstanding appointments or responses via e-RS & tracker.
  • Act as a liaison between the practice, hospitals, community services, ICBs, and other healthcare providers.
  • Coordinate patient pathways and facilitate communication between primary and secondary care.
  • Process incoming clinical documents, ensuring accurate coding, scanning, and filing.
  • Provide administrative support to the Practice Manager and clinical team.
  • Prepare reports, meeting papers, agendas, and minutes as required.
  • Support audits, data collection, and service reporting.
  • Maintain patient confidentiality and comply with GDPR and NHS Information Governance standards.

· Support GPs with administrative actions arising from consultations.

· Maintain accurate patient records and documentation.

· Monitor delays, outstanding actions and service issues.

· Support patients with referral and pathway queries.

Person Specification

Essential:

  • Experience in a medical secretary or healthcare administration role.
  • Experience managing referrals and clinical correspondence.
  • Knowledge of NHS structures and patient pathways.
  • Excellent organisational and communication skills.

Desirable:

  • Experience using SystmOne and e-RS.
  • Experience supporting quality improvement projects.
  • Knowledge of QOF and Enhanced Services.

Pay: £24,179.93-£26,461.05 per year
