The Receptionist is a vital ambassador for Dental Group Ltd, serving as the face and voice of our practice. This role is crucial in promoting our practice culture, mission, and core values. You will work dynamically alongside Dentists, Specialists, Hygienists, and Management to deliver a seamless, high-quality patient experience.

## Key ResponsibilitiesPatient Experience & Front of House

  • First Impressions: Warmly welcome all patients and visitors arriving at the practice, maintaining a clean, tidy, and welcoming reception and waiting area.
  • Communication: Efficiently answer the telephone within three rings using the prescribed practice manner; manage the practice email inbox and web enquiries promptly.
  • Conflict Resolution: Act as the first point of contact for patient queries, troubleshooting issues and handling initial complaints with empathy and professionalism.

Practice Administration & Diary Management

  • Scheduling: Manage, edit, and optimize clinician diaries in accordance with management instructions to ensure an efficient and accurate appointment system.
  • Patient Records: Maintain, update, and archive patient records securely and accurately, ensuring strict confidentiality.
  • Patient Continuity: Coordinate and send out patient recalls and confirm upcoming appointments to minimize short-notice cancellations.

Financial Administration

  • Billing: Collect, process, and record patient payments accurately.
  • Compliance: Complete and submit relevant documentation for NHS and private dental schemes within strict specified timescales.
  • Credit Control: Encourage prompt payments and proactively chase outstanding debts in alignment with practice policy.
  • Auditing: Conduct monthly audits of patient accounts, issuing follow-up correspondence as necessary.

Operations, Health & Safety

  • Daily Continuity: Execute opening and closing reception protocols and compile daily day sheets.
  • Compliance & Safety: Perform and document daily and weekly Health & Safety checks, weekly fire checks, and weekly emergency first aid/equipment inspections.
  • B2B Liaison: Coordinate effectively with dental laboratories, supply companies, and external organizations.
  • Reporting: Compile operational reports and conduct ad-hoc audits as requested by management.

Professional Development & Flexibility

  • Training: Participate in mandatory refresher training, including Medical Emergencies and CPR, as well as ongoing skills development.
  • Adaptability: Provide operational support at other practice locations from time to time as required.
  • Teamwork: Carry out additional reasonable duties delegated by management to ensure the smooth operation of the practice.

## Requirements & Attributes

  • Experience: Previous experience in a dental, medical, or high-end hospitality reception role is highly desirable.
  • Skills: Exceptional communication skills, a professional telephone manner, and strong IT literacy.
  • Leadership Potential: A self-starter attitude, strong problem-solving abilities, and the desire to step up into a supervisory/lead capacity.
  • Organization: The ability to multitask under pressure while maintaining a meticulous eye for detail.
