Job Description

The Briars Dental Centre is a well-established, 7-surgery private dental practice in the heart of Newbury. We are looking for a capable, organised and detail-focused Patient Coordinator to join our team.

This role is not solely front of house. While welcoming and supporting patients is an important part of the position, a significant proportion of the role involves administration, systems work, and accurate data handling. This is a key operational and compliance‑critical role within the practice.

THE ROLE

As a Patient Coordinator, you will help ensure the smooth day-to-day running of the practice by balancing patient interaction with essential administrative responsibilities.

Patient-facing responsibilities:

  • Welcoming patients and providing a calm, professional first point of contact
  • Managing phone calls, emails, and appointment enquiries
  • Booking, amending and coordinating appointments
  • Communicating clearly and professionally with patients and the clinical team

Administration responsibilities (a substantial part of the role):

  • Maintaining accurate patient records and appointment data
  • Handling confidential and sensitive information in line with GDPR
  • Using practice management systems confidently and accurately
  • Supporting clinicians and management with administrative tasks
  • Following established processes and adapting to new systems and ways of working
  • Spotting errors, correcting them promptly, and escalating where needed

WHAT WE’RE LOOKING FOR

This role suits someone who:

  • Has strong attention to detail and takes pride in accuracy
  • Understands the importance of confidentiality in a healthcare setting
  • Is confident with computers and digital systems and learns quickly
  • Can manage multiple tasks and remain focused under pressure
  • Is adaptable, switched on, and comfortable with change and new processes
  • Uses good judgement and common sense in day‑to‑day decisions
  • Has a consistent work history and can demonstrate reliability and strong attendance
  • Communicates clearly in writing without reliance on AI tools for routine communication

Customer service experience is essential. Experience in dental or healthcare is desirable, however the right mindset and capability are more important than industry background.

IMPORTANT TO NOTE

This role involves:

  • A high level of administration and computer‑based work
  • Daily handling of confidential patient information
  • Multitasking, prioritisation, and working to deadlines
  • Working within a busy, multi-surgery clinical environment

If you are looking for a role that is mainly social or front‑of‑house only, this position may not be the right fit.

Job Types: Full-time, Permanent

Pay: £12.71 per hour

Expected hours: 41.25 per week

Benefits:

  • On-site parking
  • Private dental insurance
  • Private medical insurance
  • Sick pay

Work Location: In person
