Bid Assistant / Bid Coordinator

Location: London (NW9) – Office based only

Employment Type: Full-Time | Permanent (after 4-month probation)

Salary: Upto £38,000 per annum

Working Hours: Monday – Friday | 9:00 AM – 5:30 PM

Start Date: Immediate

About Us

We are an established international sourcing and project management company serving clients across the Energy, Medical, Agricultural, Aviation, and Laboratory Research industries. Our team supports global procurement and supply chain operations with offices and partners in Africa and China.

We are seeking a highly organised, detail-oriented Bid Assistant / Bid Coordinator to join our London office. This is an exciting opportunity for a motivated individual to be part of a dynamic and fast-paced environment with international exposure.

About the Role

You will support the end-to-end bid process, international procurement projects, and supply chain coordination. This includes preparing competitive offers, liaising with global partners, and ensuring timely project execution.

Key Responsibilities

· Support the tendering and bid preparation process with accurate documentation and timely submissions

· Prepare commercial offers and source products based on client requirements

· Coordinate closely with our offices in Africa and China to track production, delivery timelines, and ensure project milestones are met

· Arrange factory acceptance tests and third-party inspections

· Manage administrative tasks including order placement, record-keeping, and general correspondence

· Support management and finance teams with project documentation and reporting

· Maintain regular communication with suppliers and clients to ensure satisfaction and resolve issues promptly

Required Skills & Experience

· Minimum 2 years’ experience in project administration, bid support, or procurement

· Graduate-level education (preferred in Business, Supply Chain, or related fields)

· Strong attention to detail and excellent organisation skills

· Professional telephone manner and fluent spoken and written English

· Experience working to tight deadlines and delivering results under pressure

· Strong knowledge of Excel, Word, and Outlook

· Confident communicator with good negotiation and supplier relationship management skills

· Ability to work independently and collaboratively within a small, friendly team

· Prior experience working with African markets or international supply chains is highly desirable

· Technical knowledge of health/medical products is a plus

· Mandarin language skills are an advantage, but not essential
