Job Title
Occupational Health Sales & Business Support Coordinator
Job Purpose
The Occupational Health Sales & Business Support Coordinator will support the Business Manager in developing and growing the Occupational Health clinic.
The role will be responsible for responding to new business enquiries, following up potential clients and converting incoming leads into confirmed appointments, services or ongoing contracts.
The postholder will also provide administrative and commercial support to the Business Manager, ensuring enquiries, quotations, client information and follow-up activity are managed efficiently and professionally.
Key Responsibilities
Sales and Lead Conversion
- Respond promptly and professionally to new enquiries received by telephone, email, website or referral.
- Contact prospective clients to understand their occupational health requirements.
- Explain the clinic’s services clearly and identify the most appropriate service for the client.
- Follow up enquiries, quotations and potential business opportunities until an outcome is confirmed.
- Convert suitable leads into appointments, referrals, contracts or confirmed instructions.
- Maintain regular contact with prospective clients who are not yet ready to proceed.
- Identify opportunities to introduce additional occupational health services to new and existing clients.
- Support the Business Manager with business-development activity and promotional campaigns.
- Build positive relationships with clients and act as a professional first point of contact for the clinic.
Quotations and Client Administration
- Prepare quotations, service information and client documentation using agreed pricing and templates.
- Ensure quotations are accurate and approved where required before being issued.
- Record all enquiries, conversations, quotations and outcomes on the relevant system or tracker.
- Maintain an accurate and up-to-date sales pipeline.
- Set reminders and ensure all agreed follow-up activity is completed.
- Obtain the information required to set up new clients and services.
- Support the onboarding of new clients, including arranging introductory calls and gathering documentation.
- Liaise with the clinical, and administration teams to ensure new instructions can be delivered effectively.
- Assist with the preparation of reports, proposals, presentations and client communications.
Business Manager Support
- Provide day-to-day administrative support to the Business Manager.
- Produce reports on enquiries, conversions, outstanding quotations and business-development activity.
- Help monitor progress against sales and business-development targets.
- Carry out market or client research when requested.
- Support the Business Manager with existing client reviews, contract renewals and service-development projects.
- Escalate significant client concerns, commercial issues or complex enquiries to the Business Manager.
Customer Service
- Provide a professional, helpful and responsive service to prospective and existing clients.
- Ensure client questions and concerns are dealt with promptly or referred to the appropriate person.
- Maintain confidentiality and handle sensitive client and employee information appropriately.
- Represent the company positively in all telephone, written and face-to-face communications.
- Work collaboratively with colleagues across the Occupational Health clinic and wider group.
Performance Measures
Performance within the role may be measured against:
- Speed of response to new enquiries.
- Number and value of leads converted.
- Conversion rate from enquiry to confirmed instruction.
- Accuracy and quality of quotations and client records.
- Completion of follow-up activity.
- Growth in new and existing client business.

Person Specification
Essential Experience and Skills
- Previous experience in sales administration, business development, account management or a customer-focused commercial role.
- Experience of speaking with potential customers and following up enquiries.
- Strong telephone manner and confidence communicating with businesses.
- Ability to build rapport and develop professional client relationships.
- Strong organisational and administrative skills.
- Ability to manage multiple enquiries and follow-up actions without losing track of them.
- Good written communication skills and attention to detail.
- Comfortable discussing prices, quotations and service options.
- Confident using Microsoft Office, email, spreadsheets and customer-management systems.
- Able to work independently while also supporting a manager and wider team.
- A proactive approach and willingness to take ownership of leads through to conclusion.
Desirable Experience
- Previous experience within occupational health, healthcare
- Experience preparing quotations or service proposals.
- Experience using a CRM or sales-pipeline system.
- Experience working toward sales, conversion or revenue targets.
- Knowledge of occupational health services such as management referrals, health surveillance, medical assessments and workplace wellbeing services.

Hours: Monday, Tuesday, Wednesday 7.5 hours per day 22.5 hours per week
