Job Title: Physiotherapy Coordinator
Location: Sheffield
Salary: £25,877.8 per annum
Contract Type: Permanent
Hours: 37 hours per week

Role Summary:

We are looking for an organised and proactive MSK Coordinator to provide day-to-day operational and administrative support to our MSK Department and MSK Lead. This is a varied role that sits at the heart of our musculoskeletal service, combining direct employee-facing responsibilities with essential back-office coordination.

Key Responsibilities:

Service Delivery

  • Process new case referrals accurately onto the case management system and maintain up-to-date logs of all activities and notes
  • Schedule clinical assessments and treatment appointments in clinician diaries and coordinate referrals to external providers
  • Provide timely confirmation correspondence and telephone updates to clients and employees on all case activity
  • Proactively manage cases outside of KPI, fast-tracking next steps, minimising case age, and keeping customers fully informed
  • Identify and communicate solutions when difficulties arise, updating referring managers proactively
  • Handle customer enquiries professionally and in line with the customer charter
  • Manage complaints in accordance with Optima Health's complaint handling process
  • Recognise the limits of your own knowledge and skills, escalating cases to the MSK Team when appropriate

    • Participate in relevant training and development programmes
    • Actively contribute to team meetings and briefings
    • Identify opportunities to improve service delivery and productivity

Essential Skills & Experience

  • Strong organisational skills with the ability to manage a varied caseload and competing priorities
  • Excellent communication skills, both written and verbal, with confidence handling calls and liaising with clinical and non-clinical stakeholders
  • High attention to detail when managing referrals, case notes, reports, and SLA compliance
  • A proactive, solutions-focused mindset with a commitment to delivering an outstanding employee experience
  • Collaborative team player who builds effective working relationships across departments
  • Experience in healthcare administration or coordination is desirable; familiarity with case management systems is an advantage
