About Us

123 Medical Services is a growing medico-legal organisation providing high quality medical reports to solicitors throughout the UK. We pride ourselves on delivering an efficient, professional service and are looking for a highly organised and detail oriented Medical Reports Administrator to join our expanding team.

Initially, you will provide dedicated administrative support to one of our medical experts, with the opportunity to support additional experts across a range of specialties as the business continues to grow.

Role

This role is centred around the production and management of high quality medical reports. You will work closely with medical experts and our operations team to ensure reports are accurate, professionally presented and completed within agreed timescales.

The role will also involve supporting medical clinics, including providing administrative assistance and acting as a chaperone during patient examinations where appropriate.

Key Responsibilities

  • Typing, formatting and proofreading medical reports to a consistently high standard.
  • Quality checking reports for accuracy, spelling, grammar, formatting and consistency before they are issued.
  • Managing the workflow and report deadlines for allocated medical experts.
  • Preparing clinic documentation and ensuring all required paperwork is available.
  • Liaising professionally with medical experts, solicitors and the wider operations team.
  • Maintaining accurate electronic records and case files.
  • Using Microsoft Word, Excel, Outlook and PDF software confidently.
  • Supporting medical experts during clinics.
  • Acting as a chaperone during patient examinations where appropriate.
  • Travelling to clinics across Scotland when required.
  • Providing general administrative support to the wider team.

About You

The ideal candidate will have:

  • Previous experience in a medical administration, medical secretary or healthcare administrative role.
  • Excellent typing speed and accuracy.
  • Strong attention to detail.
  • A good understanding of medical terminology.
  • Experience producing or formatting professional reports.
  • Excellent written English, spelling and grammar.
  • Strong IT skills, including Microsoft Word, Excel, Outlook and PDF software.
  • Excellent organisational and time management skills.
  • The ability to prioritise a busy workload and meet deadlines.
  • A professional, proactive and confidential approach to work.
  • The ability to work independently while also being a supportive team member.

Working Hours & Flexibility

The standard working hours are Monday to Friday, 9.00am to 5.00pm.

However, our medical experts also conduct clinics during evenings and occasional weekends. The successful candidate will therefore need to be flexible and willing to support these clinics when required.

The role will also involve occasional travel to clinics throughout Scotland.
