About Ready Health Clinic

Ready Health Clinic is a private healthcare clinic based in Standish, near Wigan, providing a range of healthcare services including private GP consultations, ADHD services, weight management, vaccinations, health screening, blood tests and other specialist healthcare services.

We are looking for a highly organised, professional and friendly Healthcare Office Administrator to join our team.

This is a varied role combining back-office administration, patient communication and reception support. The successful candidate will help ensure the clinic runs efficiently and that patients receive a professional, helpful and welcoming service.

The Role

The Healthcare Office Administrator will be responsible for a wide range of administrative duties across Ready Health Clinic.

You will communicate with patients by telephone and email, respond to general enquiries, arrange and manage appointments, process administrative requests, maintain accurate records and support the wider clinic team.

You will also provide reception cover when required, welcoming patients into the clinic and assisting with the smooth running of the reception area.

This is a varied role, so the successful candidate must be comfortable moving between different tasks and priorities throughout the day.

Key ResponsibilitiesPatient Communication

  • Answer incoming telephone calls in a professional and friendly manner.
  • Respond to patient emails and general enquiries.
  • Provide patients with clear information about clinic services and administrative processes.
  • Deal with patient queries promptly and professionally.
  • Follow up patients where information, documentation or appointments are outstanding.
  • Communicate with patients regarding appointments, bookings, cancellations and rearrangements.
  • Escalate clinical questions or concerns to an appropriately qualified clinician.
  • Maintain a calm and professional approach when dealing with patients who may be anxious, upset or frustrated.

General Office Administration

  • Carry out day-to-day administrative tasks for Ready Health Clinic.
  • Process incoming and outgoing emails.
  • Maintain accurate patient and administrative records.
  • Upload and organise documents and correspondence.
  • Assist with processing referrals, reports, letters and other clinic documentation.
  • Liaise with external organisations, pharmacies, healthcare providers and other professionals where appropriate.
  • Assist with invoices, payments and other administrative tasks.
  • Monitor outstanding administrative tasks and ensure they are followed up.
  • Assist with ordering office and clinical supplies when required.
  • Support the Clinic Manager and clinical team with general administrative duties.
  • Assist with maintaining clinic databases, spreadsheets and electronic systems.
  • Ensure information is recorded accurately and confidentially.

Reception

  • Provide reception cover when required.
  • Welcome patients attending the clinic.
  • Check patients in and ensure they are directed appropriately.
  • Answer reception telephone calls and deal with general enquiries.
  • Maintain a professional and welcoming reception environment.
  • Assist with opening and closing reception when required.
  • Ensure patient confidentiality is maintained at all times.

Clinic Support

  • Assist the clinical team with non-clinical administrative tasks.
  • Help coordinate patient appointments across different clinic services.
  • Assist with the organisation of clinics and clinician diaries.
  • Follow up outstanding patient information and documentation.
  • Help identify administrative issues that may delay a patient's care and escalate these appropriately.
  • Support new services and clinic projects as Ready Health Clinic develops.
  • Undertake other reasonable administrative duties required to support the smooth running of the clinic.

About You

  • Willing to help with a wide range of tasks rather than being restricted to one area of administration.

Experience

Previous experience in administration, customer service, healthcare, pharmacy, GP practice or a similar patient-facing environment would be advantageous.

Experience of working in a healthcare setting is desirable but not essential.

You will be expected to follow all Ready Health Clinic policies and procedures and maintain a high standard of professionalism at all times.
