Thirsk Doctors Surgery has a vacancy for an enthusiastic and motivated Medical Receptionist to join our supportive and established team. The post is being offered at 20 hours per week (to be confirmed), shift patterns from Monday to Friday in opening hours between 7.45am to 6.30pm.

The role will offer you the opportunity to build on your experience and development of working effectively within a multi-disciplinary healthcare team, support & training will also be provided where required, dependant on current skills and qualifications/experience.

Main duties of the job

The Medical Receptionist will be undertaking a wide range of reception and medical coding duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

You will act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.

Training will be provided where necessary to fulfil the job responsibilities.

Job description

The following are the core responsibilities of the Medical Receptionist. There may be, on occasion, a requirement to carry out other tasks:

  • Maintain and monitor the practice appointment system.
  • Welcoming patients at Front Reception desk, dealing with queries and appointments.
  • Accurately recording and inputting data on the Clinical System1 and patient records.
  • Process telephone and e-requests for appointments.
  • Answer incoming phone calls, triaging and transferring calls and dealing with the callers requests appropriately.
  • Signpost patients to the correct service.
  • Initiating contact with and responding to requests from patients, team members and external agencies
  • Photocopy documentation as required.
  • Data entry of new and temporary registrations and relevant patient information as required.
  • Action incoming emails and other correspondence as and when requested by the Reception Manager.
  • Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the Medical Reports lead.
  • Manage all queries as necessary in an efficient manner.
  • Maintain a clean, tidy, effective working area.
  • Monitor and maintain the reception/waiting area and notice boards.
  • Support all clinical & admin with general tasks as and when requested.
  • Any other tasks as required by the Reception Manager/Supervisor eg. scanning, deductions, admin support, coding, clinic letters/texts, referrals, 2-week rules
  • Partake in all mandatory elearning & face-to-face training.
  • Complete opening & closing procedures in accordance with staff rota.
  • Provide cover in sickness and holiday absences and lunch breaks.
  • Partake in audit as directed by the audit lead.
  • Support reception team development, partaking in shared learning and team meetings.
  • Take part in full team training and staff events when required.
  • Support the health promotion lead and display promotional material on the allocated notice boards and in the waiting room when requested.
  • Work within all practice policies and procedures.

In addition to these responsibilities the Receptionist will be trained (where required) to do medical coding.

  • Accurately read coding data on System 1
  • Ensuring practice targets are achieved for coding.
  • File and store records as required.
  • Action all incoming correspondence, emails and mail in a timely manner
  • Scan patient related documentation and attach scanned documents to patients healthcare records.
  • Input data into patients healthcare records as necessary.
  • Review all clinical letters ensuring they are processed appropriately in line with extant protocols.

Person Specification

Experience Essential

  • Experience of working with the general public
  • Experience of administrative duties

  • Experience of working in a healthcare setting

Qualifications

Essential

  • GCSE Mathematics and English (C or above)

Desirable

  • NVQ Level 2 in Health and Social Care
  • AMSPAR Receptionist Qualification
