We'd like you to join us as a Medical Secretary at the Kings Norton Hospital in Birmingham.
Kings Norton Hospital is a 32 bedded purpose-built adult acute, Male and Female Acute Mental Health Unit’s providing a secure and safe, gender-specific environment for adults who have suffered an acute deterioration or relapse in their mental well-being. The hospital opened in December 2022.
We specialise in providing intensive and bespoke, individualised treatment plans working collaboratively with patients and their families or carers.
What you'll be working:
- Full time hours - 37.5 Hours a week.
- Monday to Friday, 8am to 4pm.
- £25,634.80 (FTE 37.5 hours) per annum pro rata.
What you'll be doing:
- The receipt of all correspondence, including referrals and ensuring that the appropriate action is taken.
- The minuting and processing of complex clinical letters, reports, and meetings as required by the team, whilst ensuring a high degree of accuracy in medical terminology and clinical details.
- To act as the focal point of contact and be responsible for the dissemination of information, messages and enquiries for medics and ward team, liaising with multi-disciplinary team members, other health professionals and staff within the organisation, relevant NHS Trusts, GPs, social workers, service users, carers, and any other appropriate external agencies.
- Provide an administrative support function the nursing teams, inclusive of registering patients on the electronic patient record and maintaining patient information, maintaining records and administrative tasks as allocated.
- Arranging meetings, reviews, case conferences, taking formal minutes of meetings and circulating the documentation in a timely manner.
- Acting as a focal point for telephone enquiries to the Consultant and team, resolving queries, taking messages and communicating them in a timely and effective manner as appropriate. Communicating in a sensitive, reassuring and sympathetic manner with tact and understanding.
- Liaising with service users, carers and families, frequently dealing with difficult, stressful situations, for example verbal aggression or suicidal service users, whilst adhering strictly to the Trust’s guidelines in relation to confidentiality of information.
- Liaising with a wide range of health service personnel.
- Liaising with external agencies and organisations for additional information, results, case notes as directed by the medical team.
- Maintaining good working relationships with all members of the multidisciplinary team.
- Providing a medical secretarial and administrative service to the medical and nursing teams.
- Word/text processing, audio transcription of complex clinical information including clinic tapes, discharge summaries, reports and other correspondence, as required by the medical team, in priority order whilst ensuring a high degree of accuracy in medical terminology and clinical detail.
- Responsibility for ensuring clinical records are stored securely whilst in current use.
- Ensuring accurate clinical and departmental filing systems.
- Maintaining and renewing care records, as necessary, ensuring all documents are filed in an orderly and accurate manner.
- Undertaking necessary routine correspondence (with minimal supervision) and prioritising their own workload daily, responding quickly and appropriately to urgent queries and referring to the team where appropriate.
- Ensuring confidentiality is always maintained in accordance with the Data Protection Act, Trust policy and good practice.
- Understanding, respecting and promoting issues of equality, diversity and rights in accordance with good practice and legislation.
- Utilising the Care Notes system to record and update patient information, as required by the team. Including admitting and discharging patients on the electronic patient record.
- Ensuring all KPI information is entered in a timely fashion according to company timelines.
- Accessing pathology results as requested by the Consultant / MDT.
- Ensuring proficient in Microsoft Office Software, including Word, Excel and PowerPoint packages for corresponding, storing and producing documents and information as required.
- Reporting IT faults to the IT department and Service Manager.
