Full job description

Job Title: Medical Secretary

Reports to: Practice Manager
Hours: 30-35hrs per week

Salary £14 per hr

Location: Karis Medical Centre

Job Summary

To provide comprehensive medical secretarial and administrative support to the clinical team while leading the day-to-day administration of patient complaints, Zero Tolerance cases, SARs and governance-related correspondence. The postholder will ensure referrals, correspondence and investigations are managed accurately, professionally and within statutory and practice timescales.

Key Responsibilities

· Provide a high-quality medical secretarial service including typing clinical correspondence, referrals and reports.

· Process referrals using ERS and liaise with hospitals and community services.

· Manage incoming emails, patient correspondence and administrative queries.

· Maintain accurate patient records on EMIS and undertake clinical coding where appropriate.

· Process/Handling SARs

· Manage, process and coordinate all patient complaints from receipt to final response.

· Maintain the complaints tracker, monitor deadlines and coordinate investigations.

· Analyse complaint themes and prepare governance reports for the Practice Manager and Partners.

· Manage Zero Tolerance incidents, prepare warning letters and maintain investigation records.

· Support Significant Event Analysis (SEA), Patient Safety Incident Investigations (PSII) and Root Cause Analysis (RCA) Creating lear.

· Maintain confidentiality and comply with GDPR, NHS Complaints Regulations and Practice policies.

· Provide reception and administrative cover where required.

Essential Criteria

· Previous medical secretary or NHS administrative experience.

· Excellent written and verbal communication skills.

· Strong IT skills including Microsoft Office and EMIS (or similar clinical systems).

· Ability to manage sensitive information confidentially.

· Excellent organisation, prioritisation and analytical skills.

· Experience of handling complex administrative workloads.

Desirable Criteria

· Experience managing NHS complaints.

· Knowledge of Zero Tolerance procedures.

· Experience with SARs, governance or quality improvement.

· Understanding of NHS Complaints Regulations.
