Full job description

This opportunity is to join the Community Cardiac Arrhythmia Team as a Clinical Secretary, supporting a busy and patient-focused service.

We are looking for an organised, approachable and motivated individual who will work closely with the medical secretary to support a small team of four clinical staff delivering care across hospital and community settings throughout Hywel Dda.

The successful candidate will have excellent communication skills, as the role involves regular and sensitive contact with patients, relatives and colleagues. Knowledge of hospital systems, patient pathways and the department’s work would be beneficial. Most importantly, we are seeking someone who is committed to providing a high-quality service, is keen to learn and develop, and can manage their workload effectively in a fast-paced environment.

The role is based at Glangwili General Hospital and offers the opportunity to be part of a supportive team within a valued healthcare service. Working hours are Monday to Friday, between 8am and 5pm, with potential flexibility to work these hours across 3 to 5 days per week.

In this role, you will play a key part in supporting a smooth and efficient patient journey by registering referrals, arranging appointments, and accurately recording outcomes.

You will help ensure clinic schedules are well organised and used effectively so patients receive timely care. Acting as a professional and compassionate point of contact, you will respond sensitively to enquiries from patients and staff via telephone, email, and face to face. As an essential member of the team, you will provide day-to-day administrative support, contributing to a positive and collaborative working environment.

You will also undertake audio typing and transcription of clinical information, as well as typing confidential and highly sensitive letters and medical reports to a high degree of accuracy, ensuring their prompt distribution to the relevant parties.

Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.

We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.

We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.

Our services are provided in:
Four main hospitals: Bronglais Hospital in Aberystwyth; Glangwili Hospital in Carmarthen; Prince Philip Hospital in Llanelli; and Withybush Hospital in Haverfordwest
Five community hospitals: Amman Valley and Llandovery hospitals in Carmarthenshire; Tregaron Hospital in Ceredigion; and Tenby and South Pembrokeshire hospitals in Pembrokeshire
Two integrated care centres: Aberaeron and Cardigan in Ceredigion, and several other community settings
47 general practices (six of which are health board managed practices); dental practices (including four orthodontic); 99 community pharmacies; 43 general ophthalmic practices; and 8 ophthalmic domiciliary providers
Numerous mental health and learning disabilities services

You will be able to find a full job description and person specification attached within the supporting documents.

The Health Board is committed to supporting its staff to fully embrace the need for bilingualism thereby enhancing patient and service user experiences. In our commitment to increase the number of staff who are able to communicate in Welsh with patients and professionals, we welcome applications from Welsh speakers.

The ability to communicate in Welsh is desirable for this post. If you do not meet the Welsh Language requirements specified, the Health Board offers a variety of learning options and staff support to help you meet these minimal desirable requirements during the course of your employment with us.
