Full job description

Ashdown Medical Group is looking for an enthusiastic, organised and motivated Medical Secretary to join our administrative team on a maternity-cover basis.

This is an excellent opportunity for someone with previous medical secretarial or healthcare administrative experience who enjoys working in a busy environment and takes pride in providing an efficient, professional service.

The successful candidate will primarily be responsible for supporting the GPs with non-NHS/private and fee-generating work, ensuring requests are processed accurately and within appropriate timescales.

The Role

The Medical Secretary will undertake a range of secretarial and administrative duties, including:

  • Processing requests for information, including Subject Access Requests (SARs), insurance and solicitor's reports/letters and DVLA forms.
  • Processing information, both electronically and in hard copy, onto the practice's clinical system.
  • Maintaining accurate records and logs, including recording monies received for private work.
  • Establishing and maintaining effective administrative systems to ensure information relating to non-NHS work is accessible, accurate and secure.
  • Receiving and making telephone calls, dealing with queries and taking appropriate messages.
  • Liaising with GPs, multidisciplinary team members, external agencies and other organisations as required.
  • Receiving and dispatching post and maintaining an effective pending system.
  • Assisting with the collection of statistics and information when required.
  • Working in accordance with practice policies, procedures and confidentiality requirements.

About You

We are looking for someone who is:

  • Experienced in a medical secretarial or administrative role, ideally within a GP practice or healthcare setting.
  • Highly organised, with excellent attention to detail.
  • Able to prioritise and manage their own workload effectively.
  • Confident communicating with patients, healthcare professionals and external organisations.
  • Professional, approachable and able to work well as part of a team.
  • Comfortable handling confidential and sensitive information.
  • IT literate and able to learn and use clinical and administrative systems.
  • Reliable, flexible and able to work independently when required.

Experience of working with SystmOne or within general practice would be advantageous, although full consideration will be given to candidates with relevant transferable experience.

Ashdown Medical Group is a busy GP practice serving patients across our two surgeries in Forest Row and Mayfield, East Sussex.

What We Offer

  • 25 hours per week, Monday to Friday, 9.30am – 2.30pm.
  • Maternity-cover contract for a minimum of 9 months.
