DENTAL RECEPTIONIST – THREE DAYS PER WEEK

45 The Green Dental Practice

Banbury, Oxfordshire

Part-time, permanent

Immediate start available for the right candidate

We are looking for an experienced Dental Receptionist to join our friendly, family-run fully private dental practice in Banbury.

This position is for three set days each week:

Wednesday, Thursday and Friday

There will also be an occasional Saturday morning, no more than one per month.

ABOUT 45 THE GREEN

45 The Green is a long-established, fully private and Denplan dental practice. Our practice has cared for patients for more than 100 years, and we pride ourselves on combining high-quality modern dentistry with genuinely personal care.

We are a small, friendly and highly efficient team. We have an excellent modern telephone system and a well-organised practice, but reception is the nerve centre of everything we do. The successful applicant will be our front-of-house representative and will play an extremely important part in the daily running and continued success of the practice.

This is not simply an administrative position. We need someone who understands how a private dental practice works, knows how to look after patients properly and can communicate closely with the dentists, hygienists, nurses and management team.

THE ROLE

Your responsibilities will include:

⁠ ⁠Welcoming every patient warmly and professionally

⁠ ⁠Answering telephone calls promptly, confidently and with a friendly manner

⁠ ⁠Managing the appointment diary and making the best possible use of clinical time

⁠ ⁠Understanding how much time different dental procedures require

⁠ ⁠Knowing what information is needed before booking treatment

⁠ ⁠Booking treatment in the correct order, including appointments involving laboratory work or several treatment stages

⁠ ⁠Working closely with the dentists to organise their diaries efficiently

⁠ ⁠Recognising urgent dental problems and arranging emergency appointments appropriately

⁠ ⁠Booking, amending and confirming appointments

⁠ ⁠Monitoring cancellations, outstanding treatment and patients who need to rebook

⁠ ⁠Supporting recall systems and helping maintain patient attendance

⁠ ⁠Clearly explaining appointment arrangements, treatment estimates and payment expectations

⁠ ⁠Taking card payments and deposits using Worldpay

⁠ ⁠Accurately cashing up and reconciling payments at the end of the day

⁠ ⁠Producing receipts, estimates and patient correspondence

⁠ ⁠Supporting Denplan administration and answering routine Denplan enquiries

⁠ ⁠Confidently explaining and selling appropriate dental sundries, such as toothbrushes, interdental products, toothpaste and mouthwash

⁠ ⁠Keeping accurate and up-to-date patient records

⁠ ⁠Using Microsoft Word and Excel for routine practice administration

⁠ ⁠Communicating patient requests and important information accurately to the clinical team

⁠ ⁠Supporting elderly, anxious and nervous patients with patience and understanding

⁠ ⁠Maintaining confidentiality and following GDPR and practice procedures

⁠ ⁠Keeping the reception and patient areas welcoming, tidy and professionally presented

⁠ ⁠Occasionally managing reception independently, although you will usually work alongside another member of the team

PRIVATE DENTAL EXPERIENCE

Private dentistry requires exceptional attention to detail and a particularly high standard of patient care.

Our patients expect a personal service, clear communication and continuity from a team that knows them. The successful applicant must be comfortable discussing fees, collecting payments, explaining estimates, and ensuring patients understand the next stage of their treatment without giving clinical advice. Previous experience working on reception in a dental practice is essential. Experience within a fully private or Denplan practice would be a strong advantage.

ABOUT YOU

We are looking for someone who:

⁠ ⁠Has genuine previous dental reception experience

⁠ ⁠Understands dental terminology, treatments and appointment requirements

⁠ ⁠Ideally has experience using EXACT/SOE dental software

⁠ ⁠Has experience using Worldpay or a similar card payment system

⁠ ⁠Can complete accurate daily cashing-up procedures

⁠ ⁠Has a warm, clear and professional telephone manner

⁠ ⁠Is confident discussing fees and collecting payments

⁠ ⁠Is competent using Microsoft Word and Excel

⁠ ⁠Is organised, accurate and able to manage several priorities calmly

⁠ ⁠Understands how to organise a productive dental appointment book

⁠ ⁠Can build a positive working relationship with each dentist and understand their individual diary requirements

⁠ ⁠Is kind, patient and reassuring with elderly, anxious and nervous patients

⁠ ⁠Understands the importance of discretion, confidentiality and excellent customer service

⁠ ⁠Works well as part of a small, close-knit team

⁠ ⁠Is also dependable and confident when working independently

⁠ ⁠Has excellent attention to detail and takes pride in completing tasks properly

⁠ ⁠Is reliable, punctual and available to work Wednesday, Thursday and Friday

⁠ ⁠Is willing to work an occasional Saturday morning, no more than once per month

⁠ ⁠Is happy to help colleagues and contribute to the smooth running of the whole practice
