Duties

  • Manage incoming calls, emails, and correspondence with professionalism and enthusiasm
  • Schedule appointments, meetings, and coordinate calendars for team members or executives
  • Prepare and organize documents, reports, and presentations with accuracy and timeliness
  • Greet visitors warmly, assist with inquiries, and direct them appropriately within the organization
  • Maintain filing systems—both physical and digital—to ensure easy retrieval of information
  • Assist in organizing company events, meetings, or training sessions as needed

Requirements

  • Proven experience in an administrative or secretarial role preferred but not mandatory; strong organizational skills are essential
  • Excellent communication skills—both written and verbal—with a friendly, professional demeanor
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software and quickBooks
  • Ability to multitask effectively while maintaining attention to detail in a fast-paced environment
  • Strong interpersonal skills to interact confidently with staff, clients, and visitors
  • High school diploma or equivalent; additional education or certifications in office administration is a plus
