Full job description

1. Purpose of the Role

The Data & ILR Administrator provides accurate and reliable administrative support to Green Labyrinth's Data Management function, with particular responsibility for the entry, maintenance and checking of learner data within the Individualised Learner Record (ILR).

The postholder will use Green Labyrinth's Yeti learner data system to create and maintain learner records, process ILR-related information and support the accurate submission of data required for Department for Education (DfE) funding and regulatory purposes.

A central purpose of the role is to strengthen operational resilience within the Data Management function by developing sufficient competence to undertake routine ILR administration independently and provide effective cover during periods of absence, increased workload and key ILR submission periods.

Accuracy, attention to detail, confidentiality and the ability to follow funding and data-management procedures are fundamental requirements of the role.

2. Key Responsibilities

2.1 ILR Administration

The postholder will:

  • Enter learner and learning programme information accurately into the Yeti system.
  • Create, maintain and update learner ILR records.
  • Process learner starts, programme changes, withdrawals, breaks in learning, completions and other changes in learner status.
  • Maintain learning aim, programme, funding and destination information as required.
  • Ensure that information recorded within Yeti accurately reflects the underlying learner documentation and evidence.
  • Assist with the preparation and checking of ILR data prior to submission.
  • Support the correction of ILR validation errors, warnings and data-quality issues.
  • Undertake routine reconciliation between learner records, source documentation and ILR data.
  • Maintain appropriate audit trails for amendments to learner records.
  • Support year-end and funding-year rollover activities.

2.2 Data Quality and Compliance

The postholder will:

  • Apply Green Labyrinth's data-entry and data-quality procedures consistently.
  • Check learner information for completeness, accuracy and internal consistency.
  • Identify missing, inconsistent or potentially incorrect information and escalate matters appropriately.
  • Assist with routine data-quality reports and exception reports.
  • Support internal funding and compliance checks.
  • Ensure that amendments to learner records are supported by appropriate evidence.
  • Maintain accurate records capable of withstanding external audit, funding assurance and regulatory scrutiny.
  • Contribute to continuous improvement in the quality and reliability of learner data.

2.3 Funding Administration

Under appropriate supervision, the postholder will develop a working understanding of the funding rules applicable to Green Labyrinth's provision, particularly:

  • 16–19 Study Programmes;
  • Adult Learner Loans and associated adult provision; and
  • other funded provision introduced by the organisation.

The postholder is not expected initially to be a funding expert but will be required to develop sufficient knowledge to recognise when information may affect learner eligibility, funding or the accuracy of the ILR.

Potential funding or compliance issues must be referred to the appropriate manager rather than resolved through assumption.

2.4 Yeti System Administration

The postholder will:

  • Develop a high level of operational competence in Green Labyrinth's Yeti learner data system.
  • Maintain learner and programme information within the system.
  • Run routine reports and data-quality checks.
  • Assist colleagues with straightforward Yeti queries where appropriate.
  • Report system or data issues promptly.
  • Support testing following system or process changes where required.
  • Follow established controls relating to system access, data security and change management.

2.5 Data Management Resilience

A specific objective of the appointment is to reduce dependency on individual members of staff within the Data Management function.

The postholder will therefore:

  • develop competence across the principal routine ILR processes;
  • maintain clear operating notes and procedural documentation;
  • provide cover for essential Data Management activities during periods of absence;
  • participate in cross-training and knowledge-transfer activities;
  • assist during peak data-processing and ILR submission periods; and
  • contribute to the development of robust, repeatable and auditable data-management processes.

2.6 Management Information

The postholder may also be required to:

  • produce routine learner and programme reports;
  • extract information required by managers;
  • assist with reconciliation of learner numbers and programme activity;
  • support monitoring of starts, withdrawals, completions and achievement information;
  • identify apparent discrepancies within management information; and
  • assist in maintaining accurate data for operational and Board reporting.

2.7 Data Protection and Confidentiality

The postholder will have access to significant quantities of personal and potentially sensitive learner information.

They must therefore:

  • comply with UK GDPR, the Data Protection Act 2018 and Green Labyrinth's information-governance requirements;
  • maintain strict confidentiality;
  • access learner information only where required for legitimate business purposes;
  • follow organisational information-security procedures; and
  • immediately report suspected data breaches or information-security incidents.
