The Opportunity
Are you an experienced EA/PA or Operations Coordinator who enjoys variety and likes being the person who keeps everything organised and moving? We’re looking for a highly organised, proactive and trustworthy Executive Assistant & Operations Coordinator to provide direct support to a senior executive while also helping with a wide range of People and business administration. This is not a traditional diary-and-travel EA role. It’s a varied position where no two days are necessarily the same. You’ll be trusted to take ownership, keep on top of deadlines and follow things through to completion. The role is predominantly remote, offering excellent flexibility, but you’ll need to be within around 30 minutes’ travelling distance of Portsmouth as a weekly face-to-face meeting will be required.

What You'll Be Doing Your responsibilities will be varied and will include:

  • Providing day-to-day EA and administrative support to a senior executive
  • Coordinating meetings, diaries and appointments
  • Supporting recruitment, interviews, offers and onboarding
  • Assisting with employee and People administration
  • Supporting the monthly payroll process and maintaining accurate records
  • Keeping track of training, assessments and other employee requirements
  • Coordinating equipment such as laptops for new starters and leavers
  • Supporting expenses, purchasing and general administration
  • Maintaining trackers, records and important deadlines
  • Liaising with employees, candidates, suppliers and external contacts
  • Following up outstanding actions and making sure things get done
  • Helping organise team activities, events and occasional gifts
  • Looking for ways to make administrative processes more efficient
  • Providing general operational support where required

About You - We’re looking for someone who is:

  • An experienced EA/PA or Operations Coordinator ideally with 3+ years' experience
  • Remote working experience and own laptop is essential
  • Highly organised with excellent attention to detail
  • Confident handling confidential and sensitive information
  • Proactive and able to use their own initiative
  • Comfortable managing multiple priorities and deadlines
  • A strong communicator, both written and verbal
  • Confident using Microsoft 365, particularly Outlook and Teams
  • Comfortable following up with people and politely chasing outstanding actions
  • Reliable, practical and happy to get involved in whatever needs doing
  • Someone who enjoys variety and takes genuine ownership of their work

Pay: £30,000.00-£35,000.00 per year
