A fantastic opportunity to join a leading Primary Care Network in Milton Keynes, looking to welcome a Clinical Administrator to our Kiln Farm based team.

Salary and Benefits

Shift Pattern - 37.5 hours per week
Conversations around flexible working and compressed hours are encouraged

We are seeking someone to work 37.5 hours per week, between the hours of 8:30am – 5:30pm, Monday – Friday.

This role could also be split between two part-time employees.

Job Summary

To ensure that all incoming clinical and administrative correspondence is accurately coded and attached to the correct patient records within the clinical system. The post holder will support the smooth flow of information throughout the practice, maintaining high standards of accuracy, confidentiality, and data quality.

Key Responsibilities

  • Review and process incoming clinical and administrative correspondence, including hospital letters, discharge summaries, pathology reports and other patient documentation, ensuring timely workflow to the appropriate clinician or team member
  • Prioritise urgent clinical correspondence in accordance with practice policies and escalate any concerns or unidentified documents to the Workflow Lead or Practice Manager
  • Analyse patient records and correspondence to accurately extract, code and record relevant clinical information, supporting the maintenance of complete and accurate patient records
  • Contribute to patient record summarisation, document management and ongoing data quality initiatives, identifying and reporting duplicate records, misfiled correspondence or data discrepancies for correction
  • Manage and monitor shared practice email inboxes, responding to or directing queries as appropriate
  • Work collaboratively with reception, administrative and clinical teams to support effective information flow across the practice and continuously improve workflow processes
  • Assist the Back Office team with other administrative duties as required

  • Maintain strict confidentiality regarding all patient and practice information
  • Comply with GDPR, Data Protection legislation, NHS confidentiality requirements, and practice policies

Essential Criteria

  • Experience of clinical coding, document workflow, scanning or an equivalent administrative role within Primary Care
  • Exceptional organisational skills with the ability to prioritise competing workloads and maintain a high level of accuracy
  • Good literacy, keyboard and IT skills, including experience of clinical systems
  • Good standard of education, including GCSE English and Mathematics (or equivalent)
  • Understanding of confidentiality, data protection and information governance principles
  • Excellent verbal and written communication skills
  • Ability to work effectively as part of a team and meet deadlines

Desirable

  • Experience working within a GP practice or NHS environment
  • Knowledge of SystmOne
  • Experience of document scanning and workflow management
  • Understanding of medical terminology
