Full job description

Merrylee Dental Practice is a friendly, well-established dental practice located in the Southside of Glasgow. We provide high-quality NHS and private dental care to our local community in a modern, welcoming environment. Our close-knit team prides itself on excellent patient care and a supportive working atmosphere.

The Role

We are looking for a warm, organised and professional Dental Receptionist to be the welcoming face of our practice. This is a varied and patient-facing role at the heart of our team, ideal for someone who thrives in a busy environment, enjoys working with people, and has a genuine commitment to delivering an excellent patient experience from the moment they walk through the door.

Key Responsibilities

  • Welcoming patients to the practice in a friendly, professional manner and ensuring a positive first impression at all times
  • Managing the appointment book efficiently, booking, confirming and rescheduling appointments via phone, email and online systems
  • Handling a high volume of incoming calls, responding to patient enquiries and directing messages to the appropriate team member
  • Processing patient registrations, updating records and maintaining accurate data in the practice management system
  • Taking payments, issuing receipts and managing end-of-day reconciliation of the reception till
  • Liaising with the clinical team to ensure smooth patient flow throughout the day
  • Managing NHS patient registrations and assisting with the completion of NHS forms where required
  • Handling patient feedback and minor complaints in a calm, professional and empathetic manner, escalating where appropriate
  • Assisting with general administrative duties including correspondence, filing, scanning and post
  • Supporting the Practice Manager with ad hoc administrative tasks as required
  • Maintaining a clean, tidy and welcoming reception and waiting area at all times

Essential Requirements

  • Previous experience in a receptionist, front-of-house or customer-facing administrative role
  • Excellent interpersonal and communication skills, with a warm and professional manner
  • Strong organisational skills with the ability to multitask and prioritise in a busy environment
  • Confident and accurate when working with computers, databases and appointment systems
  • High attention to detail, particularly when updating patient records and processing payments
  • A positive, can-do attitude and willingness to be a team player
  • Discretion and professionalism in handling sensitive patient information in line with GDPR

Desirable (Not Essential)

  • Previous experience working in a dental or medical reception environment
  • Familiarity with dental practice management software (e.g. SOE/Exact, Dentally or R4)
  • Knowledge of NHS Scotland dental registration and patient charge processes
  • Experience handling online booking systems or patient communication platforms
