About the role
As Receptionist and Front of House Coordinator, you’ll be at the heart of the clinic experience.
You’ll welcome patients and visitors, respond to enquiries, book appointments, take payments, coordinate the diary, and help the clinic run calmly and beautifully throughout the day.
You’ll also work closely with our practitioners and support team to help patients understand their appointment options, treatment plans and costs, and feel confident about their care.
The right person will be kind, organised and clear in their communication, especially with people who may be in pain, worried, unsure, or looking for guidance.

What we’re looking for
Experience in hospitality, reception, sales or a similar client-facing role would be a great advantage.
What matters most is that you are warm, professional, organised and confident communicating with people.
You’ll also need to be comfortable talking about treatment plans, costs and appointment options in a clear, reassuring and confident way, helping patients feel informed rather than pressured.
You’ll need:
- Excellent interpersonal and written communication skills
- Confidence speaking with patients in person, by phone, WhatsApp message and email
- Confidence helping patients understand what happens next, and supporting them to book the appointments recommended by their practitioner
- Confidence processing payments and using computer systems, with training provided where needed
- Good organisational skills and attention to detail
- The ability to stay calm, clear and helpful when things are busy
- A proactive, reliable and team-focused approach
- An interest in contributing positively to the clinic’s vision, growth and ongoing development

What you’ll be doing
Your responsibilities will include:
- Welcoming patients and visitors warmly into the clinic
- Responding to in-person, phone, WhatsApp message and email enquiries
- Arranging appointments and helping patients with booking queries
- Explaining treatment plans, appointment options and costs in line with practitioner guidance
- Processing payments accurately and efficiently
- Helping patients feel supported, informed and confident about their care
- Working collaboratively with practitioners and support team members
- Coordinating the diary, including absences, meetings, room use and practitioner availability
- Supporting routine administrative tasks such as stock orders, messages and handovers
- Opening and/or closing the clinic as required
- Helping keep the clinic neat, tidy, calm and welcoming throughout the day
- Upholding Meadowside’s values, standards and professional culture in all patient and team interactions
What it’s like working at our clinic
You’ll start the day by opening the clinic, checking messages, and making sure reception and the treatment rooms are ready for the day.
You would then spend time greeting patients and visitors, answering calls, responding to WhatsApp and email enquiries, taking payments, and working with the osteopaths to help patients understand their treatment plan and feel confident booking their appointments into the diary.
We have many lovely, loyal regular patients who you’ll get to know, so some visits just feel like a catch-up with old friends — that’s one of the things we love most about working at Meadowside.
Lunch with the team is an hour long, and may be in the staff kitchen or outside on our picnic bench. We try not to “talk shop” and have a proper break and a friendly chat, with the odd homemade cake thrown in!
We have regular team huddles and monthly team meetings, which include our Good Egg Award — voted by everyone for the team member who goes above and beyond for the team or patients.
We hold team days and social events several times a year, so everyone feels aligned and connected.
