Summary

We are seeking an experienced Part-Time Clinical Secretary to join our dedicated team at AURA Veterinary. to provide efficient administrative support to clinicians within a busy referral hospital for cats and dogs, ensuring accurate and timely management of correspondence, patient records and test results. The role requires strong organisation skills, attention to detail and collaborative working to assist the team in maintaining our commitment to exceptional patient care and scientific innovation.

Responsibilities·

  • Typing and formatting of clinician correspondence (including, but not limited to, treatment summaries, reports and referral letters) to ensure that routine letters are distributed efficiently within a three-day period.
  • Ensure accuracy through proof-reading with a high level of attention to detail.
  • Ensure all test results are logged and uploaded to the patient management system and reported by the relevant clinician in a timely fashion.
  • Maintain accurate record of cases to be reported by individual clinicians.
  • Provide support to the senior clinicians as requested (this could be in the form of researching/arranging travel, supporting research and arranging meetings as requested.)
  • Attend meetings within the hospital, take and transcribe accurate minutes and distribute as required.
  • Maintain office supplies by checking stock, anticipating needs, placing and expediting orders.
  • Keep office equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies.
  • Be an effective member of the hospital team, supporting colleagues and teams as required.
  • Provide cover for team members as required during periods of absence.
  • Maintain accurate and up to date cloud-based files and patient records.

Qualifications

  • Proven experience in office or administrative roles, preferably within a veterinary or healthcare setting.
  • Strong organisational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and prioritise effectively.
  • Proficiency in office software such as MS Office.
  • Friendly, professional demeanor with a passion for animal welfare.
  • Experience with medical record keeping is a plus.
  • Ability to work independently and as part of a team.
