A referral thank you note is a message of gratitude sent to someone who has recommended your business, products or services. Sending a referral thank you note demonstrates your dedication to building strong business relationships and strengthens your professional network.

You could send a note when a customer refers family or friends, or when a business provides leads that result in new clients or contracts. In this article, we explain how to craft a clear, effective and thoughtful message that maximises the impact of your gratitude.

Why are thank-you notes important?

Thank you notes are important because they show professionalism and politeness. Expressing gratitude through thank-you notes shows genuine appreciation. They also show businesses and customers that you value their support and relationship. Thank you notes also demonstrate your attention to detail and remind customers and businesses that you are thoughtful and responsible.

Thank you notes can encourage ongoing support and lead to mutual success as they reflect your company’s branding. Another added benefit is that a well-written thank-you note helps your business stand out from other companies.

How to write a referral thank-you note

A referral thank-you note can be as brief as one or two sentences, as long as it is sincere. A personal note makes your appreciation memorable and strengthens relationships. Reviewing note examples can help you craft an effective message.

Before you begin, remember that properly addressing the recipient by name adds a personalised and meaningful touch to your message.

Here are the steps to follow when writing a referral thank-you note:

1. Use a professional greeting

Begin the letter with a professional greeting using the recipient’s last name and their official title. This adds a level of professionalism and shows attention to detail. It also shows your esteem for the referrer. Use a formal salutation such as ‘Dear’. Try to avoid informal greetings such as ‘Hello’, ‘Greetings’ or ‘Hey’.

2. Communicate your thanks

Next, communicate your thanks and why you are writing this letter. Expressing gratitude and appreciation for the referral is key to building strong relationships. Be specific and describe how the referral affected your business.

The positive outcomes of the referral clearly show the trust the referrer has in your expertise. Explain how their referral helped your business grow to make them feel valued.

Example: ‘I am writing to express my thanks for your recent referral to our company, Copper Mill Software. The client you referred to us has allowed us to start on an entirely new project and we’ve been able to recruit a new employee as a result. This has created new opportunities for our company and we have your company to thank for this.’

3. Conclude your note

End your note by showing your commitment to ongoing support and partnership. If possible, offer a small token of appreciation or customer incentive, such as a discount on your products or services or extend a promise to refer customers to their business in return.

Client satisfaction and a strong professional relationship are key, as showing your gratitude can encourage future referrals and mutual success. End your message by thanking the recipient once more for their support.

Example: ‘To further show our appreciation, we want to present your company with any data support needed on your next endeavour. As a small token of our gratitude, we are happy to offer you a discount on your next purchase with us.

If you need data analysis or have any data processing questions, please send them to us. We will help you free of charge. We value our professional relationship and look forward to further referrals and continued collaboration. Thanks again, your support really means a lot to us.’

4. Include contact information

At the end of the letter, include your contact information. Providing your details makes it easy for the recipient to connect with you. It’s appropriate to include your direct phone number and email address. Including these in an introduction email can also help develop your professional network.

Example: ‘If there is any additional support our company can offer, please contact me. You can call me directly on +44 (0)7xxx xxxxxx. Or you can email me at firstname.lastname@email.co.uk.’

Remember to sign the note personally for a warm, professional closure.

5. Proofread and send

It’s important to proofread your letter before sending it. Use spellcheck and grammar check features included in your writing software. You may want to have a colleague read your letter to catch any errors you missed. Send your response within a week of the referral.

20 July 2025
Teodros Hamid,
Champion Solutions.

Dear Mr Hamid,

I’m writing to thank you for the recent client referral. Your recommendation led to a new contract with the city library system, and we’re truly grateful for your continued trust and support.

We’d like to offer you a free review and analysis of your data security system. Thank you again for your referral. We look forward to working with you in the future. Please stay in touch and feel free to refer others who may benefit from our services.

Kind regards,

Jane Brooklyn,
Head Developer at Wavewords.

You can personalise the note further by referencing your journey together and inviting the recipient to stay connected. You can also encourage further referrals by expressing your willingness to assist and highlighting the value of personal connections. Personalising your message can make a lasting impression.
