A Facilities Manager, or Facilities Administrator, manages the lifecycle of buildings and oversees the operations and maintenance of the facility systems of an organisation. Their duties include planning and coordinating the use of sub-coordinators and suppliers in the delivery of planned preventive maintenance, ensuring that buildings meet health and safety standards. They also coordinate all installations or refurbishments.

Facilities Managers prepare documents and put out tenders to contractors, manage projects and supervise the work of contractors. Their main duties and responsibilities include: 

  • Managing and leading the change of facilities to ensure minimum disruption of the business core activities
  • Coordinating and planning essential business services such as maintenance, reception, archiving, mailing, cleaning, waste disposal and security
  • Ensuring that buildings and facilities meet the required health and safety requirements and government legislation
  • Planning and recommending the best locations for new buildings and reorganising current buildings to effectively utilise the available space
  • Monitoring contractors and checking that the work assigned to workers and contractors is completed in a satisfactory manner

For instance, a candidate who has a bachelor’s degree needs to have three to four years of experience working in a relevant industry to qualify for the role.

Facilities Manager education and training requirements

Candidates don’t need to have a specific degree to work as a Facilities Manager. However, many employers prefer candidates who have an HND or foundation degree, particularly in subjects such as business management, business studies or facilities management. Entry without an HND or degree is possible, but candidates must have the right combination of experience and skills. This could be obtained from a similar role, such as hospitality, administration or management. Some employers require additional qualifications, such as the Level 3 Diploma in Facilities Management.
