Applications are invited for an Academy Operational Manager to manage the school office taking responsibility for all administrative, financial and organisational processes. You will be required to ensure that the admin functions are provided across the school and that they run smoothly and professionally on a day to day basis. This will include involvement in the planning and development of services, systems and procedures. You will also manage a small team of administrative staff.

Applicants should have office experience at a supervisor level, experience of line managing staff, experience of managing budgets and a good knowledge of financial regulations. You should also have excellent literacy and numeracy skills, the ability to plan and organise work and the ability to work under pressure whilst meeting deadlines.

Duties will include, but are not limited to:

• Contract management.

• Manage a small team to meet delivery of dedicated accounts.
• Liaise with clients and staff to ensure all requirements are met and transparent to guarantee delivery of expectations.
• Pre-contact event planning, workforce planning and post evaluation.
• Marketing of positions, monitoring of adverts and exploring all available resources when recruiting event teams.
• Reviewing of timesheets and basic payroll involvement.
• Use of Microsoft packages including Excel, outlook, Word.
• Communications with staff for questions, resolve issues to full event preparation.
• Establish key working relationships internally and externally to create positive working patterns to enhance the business.
• Staff welfare monitoring, training, and general wellbeing
• Site management of small to large event teams.

Essential Skills & Experience necessary:

· Demonstrate experience in people organisation.

· Live event experience or temporary staffing background.

Applications are invited for an Operational Manager (i-zone) to work alongside the existing Operational Manager and the Assistant Director: Student Information and i-zone. The i-zone is the student facing team, handing enquiries from students on all aspects of university life. The service is busy and high profile and is based within the Library and Learning Resources Department. The service offers support and assistance to students at Canterbury Christ Church University as the first point of contact for all non-academic student enquiries. It refers enquiries that cannot be resolved at first point of contact, to the specialist professional services departments that it supports.

The Role

The Operational Manager (i-zone) will provide support and guidance to the Student Information Officers, based at sites over Kent and remotely, as well as contribute to the day to day running of the service. The role requires an active and intelligent approach to accessing and understanding information available on all University processes. The successful applicant will have direct line management responsibility for approximately 6 FTE Student Information Officers, who work on a front desk in addition to taking telephone calls, answering emails and Live Chat. The role requires confidence and the ability to manage a team of highly skilled individuals in a fast-paced environment.

The Person

The role holder will be required to have a flexible approach to working hours in order to ensure that we cover busy periods with weekend and evening working, as well as Bank Holidays including the University Christmas closure period.

You will have experience of delivering excellent customer service in a frontline role such as a help desk or call centre environment, as well as proven staff management experience. Educated to degree level or equivalent, you will have excellent written, verbal and interpersonal communication skills in addition to a positive. helpful attitude and strong organisational skills.

Role Purpose

This is a management role; the successful candidate will be responsible for the operational management and development of a wide range of Age UK Barnsley’s projects and services for older people. Age UK Barnsley is a dynamic organisation that is constantly evolving to provide excellent services that meet changing needs as well as campaigning on behalf of older people.

As part of its strategic plan Age UK Barnsley aims to expand and develop its services for older people in the borough of Barnsley, developing partnership opportunities with other organisations as appropriate.

Main Duties and Responsibilities

Management and Development of Services

• Taking responsibility for ensuring that Age UK Barnsley’s projects for older people are person-centred, of a high-quality standard and delivered in a manner that promotes dignity, safety and respect;
• Ensuring the recruitment, induction, support, supervision, appraisal, training and development of staff, dealing with performance, disciplinary and grievance matters where appropriate;
• Maximising the performance of all projects via planning and monitoring with the assistance of the Contracts Manager;
• Ensuring that all projects meet agreed quality standards, striving for best practice, and implementing effective monitoring and evaluation systems;
• Taking responsibility for meeting the requirements of funders with regard to reports, monitoring, evaluation, attendance at meetings etcetera;
• Ensuring the needs and views of older people are fully taken into account with regard to existing and proposed services;
• Taking responsibility for safeguarding for all projects, ensuring that all safeguarding matters are dealt with appropriately and learning demonstrated from every report;
• Liaise with finance colleagues to ensure effective financial management of projects

Innovation, development & partnership

• Attending and contributing to relevant meeting with stakeholders;
• Developing and maintaining relationships with other organisations and stakeholders that work with older people;
• Provide support with the Age Friendly Barnsley initiative and other developments and alliances that the organisation is involved with.

Strategic planning, promotion and marketing

• Ensure that annual action plans for each project are drawn up and delivered;
• Develop and maintain effective communications across the project staff and volunteers;
• Work with colleagues to coordinate the promotion and marketing of projects via leaflets, talks, attendance at events, adverts, mailings, promotions etc.

Responsibilities as a management team member

• Be a fully participating member of the Management Team and, in particular, lead on the charity’s operational plans relevant to performance monitoring and service quality;
• To keep up to date with relevant changes in law and best practice and maintain continuing professional development;
• To write and present reports to the Board of Trustees as required;
• To control budgets within the service’s brief and, where relevant, income generation targets to boost longer term sustainability;
• To contribute to the planning of staff and team workshop/meetings as required;
• To undertake any other duties within the competence of the post holder as may be required from time to time for the smooth running of AUKB;
• To carry out the duties of the post in accordance with all AUKB’s policies and procedures including: Equal Opportunities, Health & Safety, Confidentiality, Complaints, Data protection, Safeguarding Adults at Risk.
