The Job:

On behalf of our client we are seeking a PA to their IT Director. This role is providing full administrative and personal assistant support to their IT Director.

Responsibilities in this role will include:

• Managing the diary of the Technology and Change Director and managing hotel bookings and travel arrangements for the management team
• Creating and amending documents in PowerPoint, Word and Visio, creating and managing templates, creating and amending Excel spreadsheets including inputting formula and undertaking Mail Merge
• Processing supplier invoices and managing the expenses process for the management team
• Assisting the team with operational reporting to the various boards
• Managing events - setting up and quarterly Technology and Change town hall meetings, scheduling of Portfolio meetings and standing in for project administrators, assisting with running a programme of change webinars
• Capture and manage a list of management actions, chasing down timely remediation
• Assisting the management team with the onboarding new joiners and offboarding leavers to include helping new joiners settle into the team
• Creating and maintaining The Technology and Change Teams site and files
• Supporting internal communications through our intranet and email channels
• Ensuring all escalations are dealt with expediently

The Person:

For this role, our client is looking for someone who has previous PA experience as well as:

• Excellent communication skills (both oral and written)
• Excellent attention to detail, high data accuracy, time management and good organisational skills.
• Excellent interpersonal and relationship building skills. Ability to interact well with senior stakeholders, internal and external contacts at all levels.
• Ability to work using own initiative and as a team member, maintaining a professional positive attitude at all times is essential
• Good knowledge of Teams, Word and Outlook is required. Good knowledge of Visio is preferred.
• Advanced knowledge of PowerPoint and Excel is preferred to include ability to use complex functionality and formulas
• Ability to assimilate information quickly and a keen interest in developing your knowledge of the company, Technology and the legal sector.
• Willingness to try new tools and embrace new technology.

Purpose: To oversee and manage company infrastructure and helpdesk teams, server stack (currently virtually hosted) and software solutions (excluding practise management, case management and security solutions). Requirements:

In depth knowledge of analysis, implementation and evaluation of IT systems and their specifications

Sound understanding of computer systems (hardware/software), networks, telecommunications

Excellent project planning and management skills

Experience in digital and cloud transformation

Fresh and energetic approach, focussed on delivering continuous improvement

Demonstrable track record in delivering successful large network solutions

BSc/ BA in computer science or equivalent preferred

Proven track record in Senior IT Management, managing multiple IT disciplines such as DBAs, networks and service management

Organised approach to role, planning strategy and outcomes for each FY

Ability to work with and influence key Stakeholders

Ability to build a team, manage staff, maintain morale, supervise and mentor

Ability to build supplier relationships, creating cost-efficient contracts
